Interview questions for Project manager

Senior executives and HR managers recognize project management as indispensable to business success. They know that skilled and credentialed project managers are among their most valuable resources.
The Project Management Institute reports in a survey that in the U.S., over $122 million gets wasted for every $1 billion invested due to poor project performance. When it comes to hiring qualified project managers, things get a little tricky, and candidates are reviewed in several ways.

1. How do you monitor projects whether it is going on track?

This project manager interview question will assess your monitoring and controlling skills and your familiarity with project management tools. The primary responsibility of the project manager is completing a project scope on time and on budget in the agreed quality levels.
I use this baseline to compare the progress of the project and actual values against the baseline. Each week or in every two weeks, I forecast the duration and cost of remaining project activities with my team to determine whether the negotiated deadline and budget will be met. I use Microsoft Excel to keep track of issue log. I assign an open issue to a project resource or any external resource in project issue log. I set a deadline for the issue and I follow the issue until it is resolved. I use Microsoft Project for creating project plan. However, I have used Jira software tracking tool as well.

2. How will you define a project?

A project is a set of task/activities undertaken to create a product, services or results. These are temporary, in the sense that they are not routine work like production activity but most often one time set of activities undertaken.
Provide some examples. A project for a product will result in a complete product or part of a product. An example would be the creation of the Microsoft Surprise tablet that used a liquid magnesium deposition process to create the enclosure. The process developed in the project will be used for subsequent production of the tablet. Examples could include development of a new product or process (as in the example), constructing a road or a bridge (infrastructure in general), developing a computer/information system, etc.

3. Work from home has become the new normal in the post-COVID-19-world. How well are you prepared to manage a remote team?

In the present world, project managers often choose their teams from a global workforce and are expected to manage teams remotely. You should be equipped with the knowledge and skills to work with team members virtually. It calls for a different management technique. Your answer to this project management interview question should clearly describe the project management methodology you may choose to manage people and resources in a remote environment.

4. What is your strategy for prioritizing the tasks?

Regardless of its size and scope, prioritization is a critical concept that determines the success of the project and the timely completion of it. If your interviewer asks questions on prioritization, your answer should include how you distinguish between urgency and importance. You can say how you determine what is crucial and leave behind what is unnecessary. This project management interview question is also to test how flexible and adaptable you are while managing a project. Your answer should describe that you know when to say no during the project.

5. How do you motivate the project team?

Project team motivation is crucial for the success of a project. If a project team is not motivated, it will be impossible to reach project objectives. Or, even if you reach your project objectives, project quality will suffer.
After I create the project baseline, I mark the milestones of the project. Then, I send this project plan to all project team members. Whenever we pass a milestone successfully, I organize an event to celebrate this. This can be a picnic, a weekend trip or a dinner depending on the project budget or amount of the allowance provided by the company for these celebrations.
Additionally, I try to celebrate birthday of each project team member. I organize a 30 minutes break for celebration and invite all project team members to this break.

6. What is your view of Project Management?

Project management involves applying the knowledge & skills of the project team members including the project manager, application of tools and techniques available to ensure the defined tasks are completed properly. Proper completion means implies achievement of end results within given cost and time constraints. It usually means balancing of the constraints of scope, budget, schedule, quality, risks and resources.

7. Do you have outsource personnel or supplier management experience?

Managing outsource personnel or supplier is a different project management skill. If you are applying to a company that works with outsourcing personnel or suppliers, this project manager interview question will be an elective one.
If you have a project management experience in a vendor, most probably, you will have outsource and supplier management experience as well.
Let us first define what outsource and supplier is. Outsource personnel is hired or acquired by a company only for a limited time or for a specific project. For instance, assume that you are installing a database for a utility service provider in the scope of your project.

8. Can you explain project life cycle?

A project has distinct phases when the range of activities required to carry out the project work differ. There is a distinct “start” phase, followed by an organizing and preparing phase. “Carrying out” is the actual execution part of the project. “Closing” phase makes sure the temporary activities related to the project are closed systematically. The points in time when the phase changes happen are named variously as phase gate, exits, milestones or kill points. If a project is to be closed, it is decided at these stages based on the performance or if the need of the project has disappeared.

9.What to you understand by a project charter?

This is a document where it all begins. Project authorization is done on this document and a project would be initiated with the top level requirements listed in this document. Initial requirements as seen by stakeholders and the outcomes of the project also are listed in it.

10. What do you understand by plan baselines?

Baselines are the final version of all plans before the project execution starts. Project baselines are the starting versions of all related plans of a project, be it the time schedule, the quality plan, the communication plan or whatever. This acts as the reference against which project performance is measured.
