Job Description
Boutique midtown firm has a unique opening for a smart, professional college graduate Executive Assistant to support the founder. This is a position where the candidate will wear a lot of hats taking on not only EA support duties, but personal assistant support as well as office management functions.
Responsibilities:
- Manage busy, ever-changing calendars. Be able to make last minute changes.
- Prepare materials for meetings.
- Being proactive about timing on meetings. Know when to keep executive on track.
- Act as a liaison between clients and executive, deal with client calls.
- Draft correspondence on behalf of executive.
- Travel coordination.
- Proactive planning based on scheduling.
- Personal Assistant duties include but not limited to: Liaising with family members, running errands, getting lunch, coordinating personal appointments, managing personal bills, etc.
- Office Management duties include but not limited to; Ordering supplies, dealing with office vendors and invoicing, being the liaison for technology assistance, hiring other administrative staff when needed.
Qualifications:
- Bachelor’s Degree
- 5+ years experience supporting high level executives
- Need excellent communication skills and professionalism
- Tenure in employment
- Hedge fund/PE/finance experience a big plus
