Job Description

Summary:

Reporting to the Project Manager, the Assistant Project Coordinator role will provide administrative support to operations, engineering, project site managers and corporate staff. This individual will assist with the management of documentation flow of the engineering, project management, logistics, installation, commissioning and construction team.

Responsibilities/Duties:

  • Records and files all documentation between the projects department, contractors, suppliers & Independent construction control consultants
  • Maintains updated records of all approved documents and drawings in the Document Archive and the File Server with easy traceability
  • Distribute project-related copies to internal teams
  • Retrieve files as requested by employees and clients
  • Manage the flow of documentation within the organization
  • Maintain confidentiality around sensitive information and terms of agreement
  • Provide administrative support as needed
  • Additional administrative tasks and special project as assigned
  • Prepare necessary presentation materials for meetings follow up with meeting minutes

  • Familiarity with document control systems for large fast paced manufacturing or energy related projects.
  • Strong problem solver with a can-do attitude toward issue resolution and quality of process.

  • Ability to multitask

Required Education and or Experience:

  • College graduate
  • Intermediate experience with Excel and SharePoint
  • Comprehensive written and verbal skills
